I am glad to announce that the 10th Congress of the European Hip Society will be held at the Milan Marriott Hotel congress venue in Milan, Italy from 20 to 22 September 2012.

A minimum of 800 delegates are expected to attend the Congress. Based on the experience of previous Congresses of the European Hip Society, the Scientific Committee chaired by myself is planning a high quality scientific programme which consists of keynote lectures, symposia, instructional courses, interactive case discussions and free paper presentations.
All the relevant areas in hip will be covered and updated by world renowned experts in the field. Particular emphasis will be given to new frontiers of innovations in the techniques and ultimate instrumentations in conservative hip surgery, hip replacement, revisions and traumatology.

MEETING VENUE

The 10th( Meeting of the European Hip Society will take place at Milan Marriott Hotel (Via Washington, 66 20146 Milan, Italy, web site www.milanmarriotthotel.com) The Milan Marriott hotel is conveniently located for Milan Linate airport and a few minutes from Milan city centre. Enjoy the various shopping malls, museum visits and other local attractions. Visit the temple of football, the "San Siro Stadium" at just 15 minutes away from the Milan Marriott Hotel, the hystorical part of the city where you can see the famous Last Supper painting, the masterpiece of Leonardo Da Vinci. You can also spend your time in the Navigli area, the trendiest part of the city where all the most fashionable shops and restaurant are located at 15 minutes by car from the Milan Marriott hotel. During the meeting satellite symposia and a pharmaceutical-technical equipments exhibition will be organised.

CLIMATE

In September the weather is pleasantly warm during the whole day, but for the outdoor events a light sweater will be useful. Temperature ranges from 18 to 20 °C.

LANGUAGE

The official language of the meeting is English and no simultaneous translation is foreseen during the scientific sessions.

TRANSPORTATION

Metro and buses - the underground railway network that operates in Milan is called the Metropolitana and easily reaches all parts of the city including the meeting venue, a comfortable bus and metro transportation system is also available with a comprehensive network.
Transportation to and from the airport - the Milan airport of Linate is located very near to the city centre by taxi and bus, meanwhile the Malpensa airport is outside Milan and connected by a train-bus system to downtown.

TAXIS

Taxis in Milan can be ordered by phone or found at the official taxi stands but they can not be hailed on the street.

PRELIMINARY MEETING EXHIBITION SCHEDULE

GENERAL CONDITIONS AND TERMS OF COLLABORATION

No ancillary events will be permitted during the meeting days either inside or outside the venue except for the official and approved industry satellite symposia.
Any activity that may involve participants is subject to the approval of the Organising Committee.
Requests are to be submitted in writing to the Organising Secretariat OIC and will be decided on after consultation.
EHS does not endorse exhibitor functions and does not consider them as part of the official programme outside the venue.

LIABILITY

In participating with an exhibition stand at the 10th meeting of the European Hip Society, companies agree that neither the Organisers nor the Secretariat assume any liability whatsoever. Companies are requested to make their own arrangements in respect of insurance and installation of their stands.
By submitting the application form, companies accept these general conditions and agree to observe the fire safety precautions and the general regulations established by the venue. The application is legally binding on the exhibitor pending its acceptance in writing by the organiser.
The use of the EHS logo is permitted only in exceptional cases, such as on the official abstract CD or on the invitations to the industry symposia, this rule applies before, during and after the meeting.
In any case any such intended use must receive the prior written consent of EHS.
If the meeting has to be cancelled owing to force majeure, exhibitors and sponsors will be reimbursed only the amounts they have already paid.

EXHIBITION

The smallest available exhibition space is 3x2 metres (6 sqm). The price per sqm includes bare floor space only. Exhibition space can only be booked by returning the sponsorship intent form (on paper and signed). The rates do not include rental of booths, construction crews or electrical connections. These and other optional items need to be ordered separately from the Organising Secretariat OIC by using the exhibitor technical manual and related forms that will be made available to confirmed exhibitors in due time. After official confirmation of exhibition space, any request for location change will be considered as cancellation and new booking, therefore subject to a penalty charge according to the contract cancellation policy.

SPONSORSHIP – TERMS AND CONDITIONS

Confirmation

  1. The confirmation of any applied sponsorship item will become effective through a dedicated contract-budget that the Congress Organising Secretariat OIC will send to the requesting Company upon receipt of this present application form. The final confirmation and signature of this contract-budget must be returned to the Congress Secretariat within 10 days from receipt of the document that becomes mandatory and liable for both O.I.C. Srl and the Company with direct acceptance of all conditions mentioned herewith. Should this deadline not be respected, the agreement will be automatically considered declined and the option ready to be re-offered to another interested sponsor. Upon confirmation receipt, cancellation and payment policy terms will become effective.
  2. The full correspondence concerning the management of the confirmed services will become essential integrated part of the present agreement.
  3. In case the meeting must be cancelled, due to “force majeure”, sponsors will be reimbursed only for what already paid.

Payment requirements (to finally confirm any selected sponsorship item)

A full pre-payment of the sponsorship item (plus VAT 20%) is required upon official confirmation and receipt of the due balance invoice issued and sent by the Congress Organising Secretariat (O.I.C. Srl).
The payment is due within 30 days from invoice issuing date, in any case before the beginning of the meeting by one of the following available methods: If the payment is not received within the time established in the payment conditions, the agreement with O.I.C. Srl will automatically be rescinded. In this case O.I.C. Srl will send by registered mail a written declaration to the Company. The missing payment will be intended as “cancellation by the client” and the penalties indicated below will be applied. The missing balance payment before the meeting will entitle O.I.C. Srl to forbid the building up of the stand or not to provide the requested service/s, the penalties indicated below will be applied in any case.

Cancellation Policy

In case the Company renounces or for any reason is unable to participate to the event, the Congress Organising Secretariat OIC must be informed in writing and will be then free to re-offer and assign the stand and/or any other sponsorship item proposal to another interested Company.

Besides the cancelled Company will be charged with the following penalty conditions: Should the above terms not be respected, the Congress Organising Secretariat OIC will be entitled to terminate the agreement without any responsibility according to art. 1456 Civil Code (Italian Law).

Special notice for the pharmaceutical companies

In case the official AIFA request for the meeting is not accepted by the competent institution, the Organising Secretariat will return the paid account to each company unless the cancellation is due to the negligent or partial AIFA application procedure by the same company that will imply the above mentioned general terms and conditions meant for the offer. The Organising Secretariat proceeds with the AIFA pre-application for the involved companies to obtain authorisation to participate in the meeting, therefore the companies must return the due applications including the SIS code no later than 30th June 2012. The Organising Secretariat is not liable for any inconvenience caused by a partial procedure by the company or the late consideration of the indicated deadline for the application submission.

EXHIBITOR BADGES

Each exhibiting company is entitled to 2 free registrations every 6 sqm space reservation, giving access to the exhibition. All company representatives will wear badges differing from those of the participants. These will feature the name of the company. It is forbidden to use exhibitor badges for accompanying persons or medical doctors. Failure to abide by this regulation will result in exclusion from the meeting. Any additional exhibitor representative will need to register and must pay the registration fee for participants.

COMPANY INFORMATION

A short description of the exhibiting companies will be published in the final programme. Exhibitors are requested to submit a short text profiling their company, with contact information, product range and other relevant information in due time according to the specific procedures that will be given by the Secretariat.

HOSPITALITY SUITES

Hospitality suites are only available to companies that exhibit at the meeting.
A limited number of private rooms is available in the venue to be used by sponsors for private meetings or offices. Companies interested in renting hospitality suites are requested to contact the Organising Secretariat OIC.

INDUSTRY SYMPOSIA

Companies are offered the opportunity to organise commercially sponsored industry symposia or workshops within the framework of the meeting.
All symposia and workshops will be held at the venue in the rooms used for the meeting with set-up as theatre style. The organisers reserve the right to assign a bigger room if all other options are fully booked. Room allocation will be made on a first come, first served basis. Industry symposia can be booked by returning the sponsorship intent form available in this prospectus
Rates include rental of the meeting room, standard amplification equipment, PC projector, audio-visual technician, one hostess, notice of symposium in preliminary online programme, announcement of the sponsored symposium in the final programme.
Please note that all audio-visual equipment and catering services must be booked through the Secretariat. Otherwise, the sponsors are free to rent extra equipment, decoration material and hire personnel to set up the meeting room.

CATERING

The venue has an official caterer to plan all food and beverage requirements within the meeting to be applied for through the Organising Secretariat OIC for quotations and booking.

BUSINESS OPPORTUNITIES

The Organising Committee will offer a variety of opportunities for companies to inform delegates about the current state of-the-art in surgical products and procedures for their clinical, personal and business needs. The Commercial Exhibition will be located at the heart of the meeting so as to give delegates the maximal opportunity to talk with representatives of major medical suppliers. In addition, the Organising Committee encourages sponsorship of exclusive satellite symposia, parallel sessions and workshops. We realize that each company has its own individual requirements and thus every effort will be made to adjust to these requirements.
